REQUIREMENTS : National Senior Certificate/Grade 12 certificates (NQF degree 4). National Diploma in Office Management/Administration/Secretariat (NQF stage 6) as regarded with the aid of SAQA. Skills needed: Computer literacy. Good verbal and written conversation skills. Typing skills. Creative and modern questioning abilities. Excellent interpersonal skills. High level of reliability. Ability to act with tack and discretion. Preparedness to work long hours and beneath pressure.
DUTIES : Provide secretarial functions to the manager through organising the manager’s affairs by way of maintaining and organising the diary, prepare meetings, verify appointments and remind the senior manager of engagements. Prepare the senior manager’s in-basket in respect of incoming communications, e-mails, smartphone messages, photocopying, etc. Draft routine correspondence and reports for the senior manager. Receive phone calls and refer the calls to the right position players. Consolidate reviews on request. Maintain a filing machine for the office and Directorate. Serve as a Chief consumer for the workplace for procurement purposes. Provide clerical support service to the senior manager. Process tour and subsistence claims for the senior manager. Maintain office expenditure for the office. Maintain inventory register of all assets within the office. Keep a database of vital contact numbers. Keep abreast with relevant Public Service and Departmental prescript/policies and different archives to make certain that the utility thereof is understood properly.
